Add a Manual Invoice when you need to track money owed by a Customer you created directly in Revyo Collect.
Before you start
The Customer must be a Manual Customer. You need collection write access in its Business Unit. This form is not available for Customers imported from a Ledger.
Have the Invoice number, amount, currency, Invoice date, and due date ready. Enter the dates from the Invoice; the form initially uses today's date for both fields.
Record the Invoice
- Open Receivable accounts and select the Customer.
- Check that the page shows Created in Revyo.
- Select New Invoice.
- Enter the Invoice number and Amount. The amount must be greater than zero and use at most two decimal places.
- Check Currency. Use a three-letter currency code, such as
USD, and keep it consistent with the Customer's existing Invoices. - Set the Invoice date and Due date. The due date must be on or after the Invoice date.
- Select Create Invoice.
- Review the Customer's Invoices and Collection Balance to check the result.
What happens next
The Invoice becomes part of the Customer's Receivable Account. It is recorded in Revyo; it does not synchronize to QuickBooks or another Ledger.
Manual Invoices can participate in collection Policies and Workflows. Their Invoice date and due date can affect when automatic follow-ups become due. Check your Organization's collection settings before adding an Invoice with dates in the past.
Creating an Invoice does not configure a sending address. To send Customer Messages, the Business Unit also needs a sending Email Identity.
If New Invoice is missing or creation fails
If the Customer came from a Ledger, create or correct the Invoice in that accounting system. If it was created in Revyo, ask your Organization Owner or Organization Admin to check your collection access.
Read any error shown by the form. Check the amount, currency, dates, and your Plan's Active Invoice limit before trying again.
