Record a Customer's Promise to pay

Save the amount and expected payment date a Customer committed to, link the Promise to Invoices when needed, and update its status.

A Promise records a Customer's commitment to pay a stated amount by a stated date. Use it to keep the commitment visible to the team working the Receivable Account.

Before you start

You need collection write access in the Customer's Business Unit. Confirm the amount and expected payment date with the Customer before recording them.

Decide whether the commitment applies to specific Invoices or to the whole Receivable Account. For example, select the Invoice if the Customer has promised to settle only that Invoice.

Record the Promise

  1. Open Receivable accounts and select the Customer.
  2. Open Account actions → Record Promise.
  3. Enter the Amount the Customer committed to pay.
  4. Enter the Expected payment date.
  5. Select the Apply to invoice checkboxes for the relevant open Invoices. Leave them unchecked for a Customer-level Promise.
  6. Select Record Promise.
  7. Open the Promises tab and check the amount, date, Invoice links, and status.

The Promise records the commitment. It does not record a Payment or reduce what the Customer owes.

Update the status

  1. Open Account actions → Update Promise.
  2. Select the correct Promise. The list shows its Invoice scope, amount, date, and current state.
  3. Select Status: Open, Kept, or Broken.
  4. Select Update Promise.
  5. Check the updated state in the Promises tab.

Use Open while the commitment is outstanding. Use Kept when you have confirmed it was met, or Broken when it was not met. Check the actual Payment evidence before marking a Promise kept; changing this status does not enter a Payment in a Ledger.

If the controls are missing

Update Promise appears only when the account already has a Promise. If Record Promise is missing, ask your Organization Owner or Organization Admin to check your role and access scope.

If the Customer is challenging the Invoice rather than committing to pay it, record a Dispute for the affected Invoice or Receivable Account.
