Review shared Customers and automatic matches

Understand shared Customer identity, review automatic matches, and keep or undo a match without changing account history.

A Customer can owe money to several Business Units in one Organization. Revyo keeps one shared Customer identity and separate source records and Receivable Accounts for each Unit.

Open Customers to see the shared identities you can access. Business Unit filters limit the accounts included in the view. Open a Customer to see balances separated by currency and links to its Unit accounts. Open a Unit account for collection actions, Invoices, contacts, and Messages.

Sharing an identity does not share another Unit’s contacts, balances, or membership with users who do not have access to that Unit. Each Unit keeps its own sender and collection work.

How automatic matches work

Revyo looks for an exact normalized name and a full contact email address across Business Units. It links records automatically only when they identify one clear Customer. It does not use similar names, email domains, or email alias rules.

Ambiguous matches and conflicting Unit memberships need review. A Ledger sync updates its source record and source name. It does not replace the shared Customer name.

Review a match

Only Owners and Admins can review matches or change shared Customer identity.

  1. Open Customers and select Matches, or use the overview notice.
  2. Review the source records, name and email evidence, and recorded time.
  3. Select Keep match if the link is correct, or Undo match to restore the recorded source memberships.

The Customer keeps an Automatically matched badge in the Admin view after a match is kept. For an ambiguous match, open the Customer and link the correct source record manually.

Undo keeps subsequent account edits, balances, Invoices, Messages, and collection history. It also prevents the same source pair from being matched automatically again. If source memberships changed after the match, Revyo asks you to review the current records rather than overwrite later work.

Owners and Admins can change the shared name or manually link source records from the Customer overview. Each source keeps its original name and IDs.
