Reports

Create a Report and download it as Excel or PDF

Select a reporting scope, start an Aging or other Report, review the preview and data notes, and download the result in Excel or PDF format.

Use Reports to review receivables or team performance within the scope you can access. Generate a preview before downloading the result.

Before you start

You need Report access. Organization Owners and Organization Admins can use Reports; Finance and Collections Manager access depends on the scopes granted to the User. Collector access alone does not provide Report access.

Decide which Organization, Business Group, or Business Unit you want to review. A wider reporting scope can include more than one Unit.

Start and preview a Report

  1. Open Reports.
  2. Choose the Reporting scope.
  3. Choose a Default report, such as Aging, and select Start report. To reuse a saved Report Template, select Open beside it under Saved templates.
  4. Check the Report name and the source, columns, filters, and other settings in the Report builder. Keep the default settings if they match your task.
  5. Select Generate preview.
  6. Review the rows, totals, scope, and any reporting period or currency information shown in the preview.
  7. Expand Data sources and notes to review the data basis, Unit health, available sync dates, warnings, and any currency conversions.

For an Aging Report, check that the scope and included data match the receivables you intended to review before sharing it.

Download the result

In the preview, select Excel for an .xlsx workbook or PDF for a PDF document.

If you change the Report name or settings after generating a preview, generate a new preview before downloading. The download uses the generated result, so it must match the current settings.

Downloads are disabled while a Report has unresolved issues. Read the issue shown by the preview and correct it before trying again. Currency issues, for example, must be resolved before the app can produce a consistent export.

Reuse the settings

To save a new definition for later, choose Save template at and select Save template. When you edit an existing template, the button can show Update template or Save local version, depending on the save location.

A Report Template saves the settings used to generate the Report. It does not freeze the current rows or totals. Open the template and generate a fresh preview when you need a new result.

Templates saved at a Business Group or Organization can be available in descendant scopes. Check the save location before sharing a definition with other Users.
