Workflows and messages

Create and manage an email Workflow

Choose which Invoices a Workflow applies to, build its email timeline, check an Invoice, and activate or pause it in one editor.

A Workflow brings its Policies and email steps together. Policies decide which Invoices it applies to. Steps decide what to send and when to send it. Each email uses the sending Business Unit and that Unit account’s saved contacts.

Start with a draft

Open Workflows and select + New workflow. Choose Blank workflow or Standard reminders. Both start as drafts and send nothing until you activate them.

Standard reminders starts with an email before the due date, one on the due date, and a follow-up after the previous email. You can change every step.

If your role offers Unit copies instead of new Workflows, open an available Workflow and copy it to your Business Unit. A Unit copy has its own settings. You need manager permission in that scope to activate it.

Choose which Invoices apply

In Policies — applies to, name the Workflow and choose its scope. For each Policy, select its scope, choose all open Invoices or overdue Invoices, and set its priority. Higher numbers win when Policies overlap.

Enable the Policies that should take effect when the Workflow is active. You can add several Policies. An explicit account override, including “no policy,” still controls that account.

Build the email timeline

Open Email steps and select a step to edit it. Use positive day values with Before, On, or After for an Invoice date. The first step must use the due date or issue date.

Later steps can wait a positive whole number of days after the previous email. A wait starts when the provider accepts that email. Queued, failed, and unconfirmed emails do not start a wait.

Write the subject and Message. Use the insert buttons to add Customer or Invoice details at your cursor. The sample preview shows how those details will appear. You can copy, move, or remove steps without losing their recorded progress.

Review and activate

Open Review to check the audience, timing, sample emails, and current sending blocks. Select a real Invoice and run Check invoice to see applicability, priority, completed steps, and planned dates. This check sends nothing. Dates that depend on future sends are estimates.

Resolve any validation errors, then select Activate workflow. The sending inbox and saved contacts still need to be ready. Payment, holds, exclusions, permissions, billing, Ledger freshness, suppression, and provider controls can prevent a send.

Pause or edit an active Workflow

You can pause and resume in the same editor. Before saving changes, read the affected Invoice count and the pending-step notice. Changes apply to pending steps for Invoices already in the Workflow. Sent history stays intact. Newly added or moved steps with dates already past are skipped.

After a pause or outage, Revyo sends the latest due reminder and skips older unsent reminders. A later Invoice-date step can replace earlier unsent steps and their dependent waits. Check the Invoice preview to see that effect.

If an email is shared with other Workflows, review the affected Workflow names before editing it. Statement templates and Saved messages remain available from the Workflow area.
